Primary objective:
Administer the security access and building maintenance systems for Gove District Hospital; provide high quality

administrative services to the Operations Manager and the Engineering Services function including reception, purchasing

and accounts management, engineering services request management and records management.

Key duties and responsibilities:

  • Administer all security access and maintenance systems for the facility ensuring the integrity of systems is maintained
and provide training and support to users of the maintenance request application MEX, including assistance lodging

electronic maintenance requests.

  • Provide a range of quality administrative functions including Reception / phone duties; Records management; and
provide specific administrative support to the Engineering Services manager including; minute taking; formatting

documents; scheduling appointments etc.

  • Maintain a contractor attendance register to ensure compliance with agency and work health safety requirements e.g.
White Card, Ochre Card, Site Inductions.

  • Provide a range of financial management duties in line with NTG processes including: requesting quotations; issuing
purchase orders; monitoring receipt of goods and services; making contracts payments in accordance with relevant

period and contract schedules and approvals and monthly credit card reconciliations

  • Issue all security items and maintain system’s which manage the issue security items including key’s/swipe cards/visitor
cards issued to department staff; visitors and contractors.

  • Follow defined service quality standards, work health and safety policies and procedures relating to the work being
undertaken in order to ensure high quality, safe services and workplaces.

Selection criteria:
Essential:
1. Proven ability to provide quality administrative support services with a minimum of two years’ experience in a similar

role.

2. Experience administrating building management and preventative maintenance systems and proven experience

maintaining database integrity.

3. Proven ability to provide excellent customer service; and demonstrated high-level communication and negotiation

skills with a proven ability to effectively manage conflict in the workplace.

4. Proven ability to work within policy and procedures; monitoring compliance with procedures.

5. High level of computer literacy skills; with proficiency in the use of procurement systems and databases.
