The Opportunity and the person

A position for a project administrator now exists in the business the core purpose of this role is to support the project managers ensuring all administration tasks are carried out in a timely manner.

You will be responsible for;
  • Ensure the Quality Systems are maintained in the Project Administration department
  • Produce all tender documentation in a timely manner
  • Full understanding of the Contract Administration on projects
  • Assist in the management, maintenance and continued development of the Company’s CARMA system
  • To comply with WHS in accordance with the Work Health and Safety Act relevant to the State or Territory in which work is taking place, and the Company procedures.

General tasks;
  • Registration of all tenders and files
  • Provide administration support to the Estimating department and coordinate the collection of all documents and drawings for tender proposals
  • Assist with typing and printing of tender documentation
  • Assist with the monthly tender sheets
  • To ensure all project administration duties are carried out as required
  • Typing of Project documentation for Project Managers
  • Manage all phone queries relating to the Projects
  • Ensure all filing is correctly completed within the relevant timeframes
  • Manage and oversee the reception area
  • Ensure personnel are available to relieve reception, as required
  • Manage all issues which arise within the Project Administration area
  • Ensure the photocopying requirements for the department are met in a timely manner
  • Timely set up of files for all new project jobs
  • Printing and collation of O&M Manuals, WHS documentation and the creation of SWMS
  • Formatting of Site Quality Assurance and WHS Manuals
  • Maintain registers for Warranty maintenance and practical completion, retention bonds, bank guarantees
  • Filing of Project Manager AGC shop drawings
  • Scheduling, planning and preparation of meetings, conference calls, agendas, minutes and distribution
  • Completion and distribution of WHS and consultative meeting minutes on a monthly basis
  • Assistance with the maintenance of the Company’s Management Information System (MIS) to enable improved client reporting and an online client interface
  • Monitoring and requisition of stationery supplies for the department

Experience required;
  • Minimum of 3 years’ experience in an Office Administration role

  • At least 3 – 4 years’ experience utilising the Microsoft Office Suite – Intermediate Level

  • Office administration experience within the Construction Industry

  • Proven experience in a similar leadership position.

  • Certificate / Diploma OR equivalent in Business Administration or a similar area is not essential but would be highly desirable

  • Certification and/or training in the use of the Microsoft Office Suite of Applications is not essential but would be highly desirable
